The Challenge I Faced Managing NDT Certification Records

Over the years, I’ve spent a lot of time managing NDT certification programs and supporting organizations through NADCAP audits. One thing became clear very early on: maintaining control of certification records and ensuring proper validation of competency is one of the most difficult responsibilities for a Responsible Level 3.

Certification records must document training hours, certification exams, vision tests, experience requirements, and recertification activities. These records must be complete, properly organized, and immediately accessible when auditors ask to review them.

But in many organizations, those records are still managed with a combination of paper files, spreadsheets, and shared drives. When you’re responsible for hundreds of inspectors across multiple plants, maintaining visibility into certification status becomes extremely difficult.

I experienced this firsthand while overseeing certification programs for large inspection teams. Even with a disciplined process, it was challenging to track expiration dates, ensure recertifications occurred on time, and quickly produce documentation during audits.

When I joined ColumbiaSoft, I had the opportunity to work closely with our development team to create DL QualityCore’s Inspector Certification Records solution—a system purpose-built to address these challenges and support true validation of competency.

Building a Complete System for Certification Record Control

Creating a Centralized, Digital Record System

The first step was addressing the problem of scattered documentation by creating a centralized system for certification records. We designed the solution so that paper records can be digitized using ColumbiaSoft’s backfile scanning technology and brought into a single, structured repository. As records are scanned, the system automatically creates a standardized folder for each inspector and files documents into the correct location.

This ensures that every inspector has a single authoritative folder containing certification documentation, training records, vision exams, and recertification history.

Existing digital records can also be imported and tagged with the appropriate metadata, ensuring consistency and organization across all certification documentation.

Improving Visibility and Control

The next challenge was visibility. Responsible Level 3 personnel need to know at any moment which inspectors are certified, which certifications are approaching expiration, and which records may require attention before an audit.

To support this, we developed reporting tools such as the Inspector Roster, which provides a complete view of inspectors, certification levels, expiration dates, and direct links to supporting documentation.

We also created recertification dashboards that highlight upcoming Certification Renewals, Vision Exams, and Annual Maintenance Audit. The system generates 90-day and 30-day alerts, allowing Level 3 personnel to address recertifications before inspectors fall out of compliance.

Ensuring Audit Readiness

From an audit standpoint, we wanted to ensure that documentation could be retrieved immediately. During a NADCAP audit, an auditor can simply click a record in the system and view the supporting certification documentation.

Built-In Security and Control

Another important part of the design was security. Certification records and exam materials must be protected and controlled. The system uses role-based security to ensure that only authorized personnel can manage certification records while maintaining full accountability.

The Outcome: Control, Compliance, and Confidence

Ultimately, the goal of DL QualityCore’s Inspector Certification Records solution is to give Responsible Level 3 professionals the tools they need to maintain control of the certification program, keep inspectors qualified, and ensure certification records are always audit-ready.

When certification records are organized, secure, and easy to access, Level 3 personnel can spend less time managing paperwork and more time focusing on the technical integrity of the inspection program.

That’s what we set out to accomplish with DL QualityCore, and it’s what continues to drive the development of the platform today.

About the Author

Christopher Andersen brings more than 45 years of experience in Non-Destructive Testing (NDT), with a career focused on aerospace inspection quality and certification compliance. As an NDT Level 3, he has led inspection programs, managed certification processes, and worked closely with auditors in complex manufacturing environments where accuracy and documentation integrity are critical. For over 20 years, he has been actively involved in NADCAP, developing deep expertise in AC7114 audits, NAS 410 certification requirements, and the responsibilities of Responsible Level 3 personnel.

Prior to joining ColumbiaSoft, Christopher served as Responsible Level 3 for Precision Castparts’ Large Structure Division, overseeing NDT certification programs across nine plants and more than 1,000 inspectors. This experience gave him firsthand insight into the challenges of managing qualification records, tracking renewals, and preparing for audits at scale. Today, as ColumbiaSoft’s NDT Level 3, he applies that expertise to the development of the DL QualityCore NDT Inspector Records Management Solution.
